Transaction Coordinator

Candidate MUST have these qualities:

  • Detail-oriented is a MUST!

Office work hours:-

8 am – 5 pm Monday through Friday

Misc:

  • Greet and meet clients in office:  Review & copy documentation being turned in
  • Various Tasks as needed & assigned by Office Manager
  • Open Office at 8 am and close office at 5 pm Monday through Friday

Main Office Duties

  1. A.  Provide Exceptional service from Initial Contact through Closing
  2. B.  Get Closing Docs ready 24-48 hours ahead of closing schedule
  3. C.  Help get Clients and Prospects Pre-Qualified
  4. D.  Put out “Fires”

 A.     Provide Exceptional service from Initial Contact through Closing

  • Email or call client and collect items from “needs” list
    • Follow up.  Get items back within 24-48 hours. 
  • Review application the day it is received from LO
    • Use checklist to make sure all “docs” are present and sign off on Documentation checklist
    • Make sure file is in order and neat
    • Make sure bank statements and supporting financials are present. (Verify income/assets)
    • Give COMPLETED file to Loan Processor within 24-48 hours of receipt
  • Purchases – send welcome video email to both agents introducing yourself and team.  Send reminder to L.O. to call to both agents
  • Refinances – send welcome video to the client introducing your self and the team
  • Work with processor to obtain conditions (both borrower and realtor) throughout loan process
  • Call both the buying agent and selling agent once a week with a file update
  • Answer questions from all parties involved
  • Lock interest rates and terms on loan if not already done (consult LO)

 B.      Get Closing Docs ready 24-48 hours ahead of closing schedule

  • Follow-up with “condition” calls to make sure they are received.  Keep calling or emailing.
  • Get updates from processor on a daily basis
  • Have a weekly team meeting to discuss pipeline and it’s status
  • Call client 2 days before closing and go through closing checklist. Let them know what they need to bring to closing.
  • Make sure someone (if not LO) is scheduled to attend the closing and deliver the closing gifts
  • Order closing gifts

C.     Help to get clients and prospects pre-qualified (Take apps if Licensed (similar to Junior LO)

  • Have a good knowledge of underwriting guidelines
  • Take BASIC information for LO, run credit and set up appointment for LO and client for loan scenario and quoting rates and fees
  • Help LO call leads and set up phone appointments
  • Help LO call leads to set up “in person” meetings
  • Enter information given to you by LO into Loan Scenario Software (Encompass preferred)
  • Create Loan Presentation using Jing, Mortgage Coach or other Presentation
  • Software and provide link to LO
  • *Assist LO with providing 2-3 loan scenarios for prospective clients*
  • *Attend “In Person” appointments with clients (app or pre app) when LO cannot (Quoting rates, loan scenarios, etc.)

Must be licensed for *Activities (Licensing is preferred)

  • Quote rates
  • Loan scenarios
  • Quoting fees
  • Pre-qualifications
  • Full loan applications
  • Pre-qualifications OK’d and given to realtors

D.     Put Out “Fires”

  • Be a direct liaison with the Processor and chase down conditions
  • Smooth ruffled feathers with referral partners
  • Smooth ruffled feathers with clients
